Amazon Vendor Central management for brands that sell to Amazon

Purchase orders, chargebacks, content and advertising for first party vendors, run inside your Vendor Central account. The work often starts where Amazon is buying and the deductions are quietly taking the margin.

What’s included in Amazon Vendor Central

Purchase order management

Amazon sends purchase orders electronically, for a quantity of each item, and a vendor that accepts one is obliged to deliver the accepted quantity by the dates given, to the Amazon locations given. Accepting an order you cannot fill is how many vendor penalties start. We review every order against your stock, your cost price and your production lead time before it is confirmed, so the account commits only to what it can ship, and we track each accepted order through to its delivery window so nothing reaches the dock late or short without a reason recorded.

  • Every purchase order checked against stock, cost and lead time before it is confirmed
  • Accepted orders tracked through their delivery windows to the Amazon location
  • Short confirmations and cancellations explained, so the next order is forecast on the truth

Chargebacks, shortages and deduction disputes

Amazon deducts from what it pays a vendor for operational defects such as late or incomplete deliveries and labelling or paperwork errors, and for units it records as not received. Some of those deductions are right and point at a fault worth fixing. Some are not, and they are only recovered if somebody reconciles the payment against the invoice, finds the evidence and disputes it inside Amazon's window. We do that every week, and we report the pattern behind the deductions so the process that caused them changes rather than the dispute queue growing.

  • Payments reconciled against invoices to find every deduction
  • Disputes filed with proof of delivery and paperwork, inside the window Amazon allows
  • The cause of each recurring chargeback traced and fixed at the warehouse or in the data

Catalogue and content in Vendor Central

As a vendor, your product data and detail page content are submitted from the Vendor Central account, through a different route from Seller Central. Items set up badly at the start keep costing: wrong case packs and dimensions break shipments, and weak titles and images cost the sale Amazon is trying to make on your behalf. We keep the catalogue accurate, write and submit titles, bullets, descriptions and A+ content, and resolve the conflicts that appear when a brand also sells on Seller Central and two accounts are feeding the same page.

  • Item setup, case packs and dimensions that match what is shipped
  • Titles, bullets, images and A+ content written and submitted from the vendor account
  • Content conflicts between a vendor and a seller account found and settled

Retail data, forecasting and inventory

Vendor Central carries reports on sales, traffic, inventory and orders, and purchase order and catalogue data can be read through Amazon's vendor APIs. Many vendors look at a fraction of it. We read it every week to see what Amazon is likely to order next, where stock is running thin, which items are losing traffic and why, and where a purchase order pattern has changed. That is what turns a production plan from a guess into a forecast, and it is the evidence you need when a conversation with Amazon about cost or volume comes up.

  • Weekly reading of sales, traffic, inventory and order data from Vendor Central
  • Ordering patterns and stock risk flagged before they become missed orders
  • Evidence prepared for cost, volume and range conversations with Amazon

Advertising for vendors

Amazon Ads treats anyone who manages products in Vendor Central or Advantage Central as a vendor, and vendors register for advertising with that account. Vendors can run Sponsored Products and Sponsored Brands, and build a Store, and a vendor that qualifies can pay for advertising by deduction from what Amazon owes it. We run vendor advertising against the purchase order picture: there is no point buying traffic for an item Amazon is out of stock on, and there is every reason to push the items Amazon has just ordered deep on.

  • Sponsored Products and Sponsored Brands run from the vendor account
  • Spend aligned with stock and open purchase orders, not with last month's plan
  • A Store built and kept current for the brand

Terms, cost price and the first party or third party decision

A vendor relationship is negotiated, not just operated: cost prices, the terms attached to them, and which items Amazon carries at all. Some brands also find that part of the range does better sold directly on Seller Central, where they set the price and hold the stock. We prepare the numbers for those conversations and for that decision, item by item: what each product earns as a vendor once deductions are counted, and what it would earn as a third party seller once fees and fulfilment are counted.

  • Item level margin after deductions, for every product Amazon buys
  • Preparation for cost and terms conversations with Amazon
  • A clear view of which items belong in first party, third party, or both

How it works

  1. 01

    Audit

We read the account before touching it: the last months of purchase orders and confirmations, invoices against payments, every chargeback and shortage, the catalogue, the content and the advertising. You get a written view of where the money is going and what we would fix first.

  2. 02

    Plan

The audit becomes a plan with an order to it: the deductions to dispute now, the process faults to fix so they stop, the catalogue and content work, and the advertising set against the order picture. You agree it before anything changes.

  3. 03

    Run

Weekly, inside your account: purchase orders reviewed before they are confirmed, deliveries tracked, payments reconciled and disputes filed, content kept current and advertising managed. You see what was done each week and why.

  4. 04

    Report and adjust

Each month: what Amazon ordered, what was shipped and paid, what was deducted and what was recovered, how traffic and advertising moved, and what changes next month. The plan is adjusted to the numbers rather than to the calendar.
